Forms, emails and calls

What is Helka?

Helka is an AI inbound assistant with its own CRM, being developed by StructylAI in Switzerland for businesses handling contact forms, emails and phone calls.

Contact forms, emails and calls, connected to one AI-powered CRM. Helka is being built to answer automatically from approved business information: your services, hours, prices and next steps.

It also organises the work behind the conversation. Capture customer details, clarify what is missing, classify the request and give unresolved work to the right person.

Automatic replies and actions depend on the channel, approved information, configured permissions and release readiness. Unresolved requests stay visible for a person to handle.

Your three-in-one inbound assistant

Contact forms.
Emails. Calls.

Understand the request, answer from approved information and record what needs to happen next.

01

Contact forms

A useful reply, not just a receipt. Understand the request, collect the right details and prepare a response from approved business information.

Reviewed setup required

Details & setup

Turn a contact form into the start of a useful conversation. Helka is being built to understand the request, capture customer details and respond with relevant service information or follow-up questions, not just a generic acknowledgement. Form intake requires a reviewed setup; automatic replies need a configured, approved delivery channel. This website's access form is separate and does not activate Helka.

  • Review tenant binding, field validation, allowed origins and anti-spam configuration.
  • Agree field mapping, permissions and record ownership.
  • Confirm a durable stored receipt before acknowledging intake.
  • Agree approved answer sources and delivery permissions for automatic replies.
02

Emails

Context stays with the conversation. Organise threads, classify enquiries and prepare relevant replies, with automatic sending subject to approval.

Provider and release approval required

Details & setup

Keep incoming threads organised and prepare replies with the details customers need. The intended workflow answers routine enquiries automatically from approved business information and routes exceptions with their context. Current foundations cover threads, classification and drafts for review. Receiving production email is disabled by default until a real provider is validated. Sending substantive replies also requires release approval. A prepared draft is not a sent message.

  • Validate a real provider and release acceptance.
  • Review ingestion permissions and threading.
  • Approve outbound sending separately from draft preparation.
03

Calls

A conversation with a next step. Answer questions, clarify the request and bring the details together for the person who follows up.

Local English demonstration

Details & setup

Handle the conversation as it happens: answer from approved business information, ask useful questions, capture the request and prepare the next step. Helka's voice foundations connect structured intake, identity checks, permitted actions and human follow-up. A local English demonstration is available for review; live-call acceptance testing and a public production release are not complete.

  • Review telephone, network and business setup.
  • Configure permitted actions, identity checks and staffed transfer availability.
  • Review disclosure, transcription and any separately enabled recording.

One CRM. The enquiry, customer details and follow-up stay together.

English is the initial target and the language of the current local demonstration. Other languages and commercial rollout require separate validation. A local demonstration is not a public production release.

HelkaExample enquiry and follow-up

Get in touch

An enquiry arrives.

Example customerExample business account
“The loading-bay door is sticking. It is at Bay 2.”

Fictional records. No real call, message, booking or stored request.

01

Get in touch

A customer submits a contact form, sends an email or calls your business. Helka is being built to bring all three into one inbound workflow. Each channel needs a reviewed setup; production email also requires provider validation and release approval.

The example in detail

In this service-enquiry example, a customer asks for help with a sticking loading-bay door. Helka collects the details for the team.

02

Clarify what matters

Ask for useful details rather than fill gaps with guesses. Keep what the customer says separate from what a connected system has confirmed.

The example in detail

The customer corrects Bay 2 to Bay 4 and asks for an afternoon callback. Neither statement verifies an account or reserves a visit.

03

Use approved knowledge

Answer from permitted, current business sources: services, offers, terms, approved prices, hours, policies and eligibility. A message or uploaded instruction does not become a business rule.

The example in detail

The example service guide allows repair enquiries to be taken, but leaves site suitability and visit timing to a coordinator.

04

Propose a next step

Answer a question, capture a lead or service case, request a callback, or arrange human help where permitted. Optional scheduling requires a reviewed integration with access to real availability.

The example in detail

Helka proposes a coordinator callback. A requested time is a preference, not an appointment.

05

Check, then record

Important actions require appropriate identity checks. The exact details must be read back in full, and the customer must separately confirm the action. An action can only be described as accepted after its result has been successfully saved.

The example in detail

Correcting the bay number does not approve another action. The scripted customer separately agrees to a callback request after the details are read back; no booking or private-account access follows.

06

Assign the follow-up

Give the team access to the conversation, sources, corrections and assigned owner. Keep recorded requests, delivered messages, completed callbacks and unresolved questions clearly distinct.

The example in detail

An assigned team member owns the pending callback in Helka. Access details, identity checks and any visit arrangement remain unresolved.

Helka's own CRM

Customer details,
requests and history.

Helka has its own customer records, rather than simply attaching transcripts to another CRM. Your team can distinguish what a customer said, what a system confirmed and what still needs checking.

Inside the customer record
Accounts and contacts
Keep the business and the person distinct, with possible identity links separate from verification.
Leads and opportunities
Capture commercial interest without calling it a sale or assuming qualification.
Service cases
Organise an issue, its open questions and the responsible team.
Conversations and enquiries
An enquiry extends a conversation, keeping its source history linked to the customer record.
Tasks and timelines
Track owner or queue, priority, due time, corrections and resolution evidence without confusing a task with delivery or completion.
Consent and preferences
Retain the purpose and source of preferences and consent; a callback request is not marketing permission.
Assignments, tags and relationships
Link people, requests and tasks, and show who is responsible. Agree whether records are managed in Helka, an external system or both.
Clear sources and visible corrections

Keep customer statements separate from information confirmed by a system. Unknown details, possible matches, conflicting records and outdated information remain visible. In the example, Bay 2 stays in the history alongside the correction to Bay 4. Reading details back checks their accuracy, not the caller's identity.

Reviewed corrections preserve context. They do not mean every action in an external system can be undone.

Agreed responsibility for each record

Records can be managed in Helka, in an external system or across both under agreed rules. Integrations, permissions, conflicting updates and migration requirements are assessed individually. Universal synchronisation is not promised.

Tasks identify the responsible person or team, priority, due time and evidence of resolution. Creating a task does not send a message or complete a callback.

No real records are created. Receiving and sending production email require provider validation and release approval.

Before the agent calls back

A sales brief, not just a transcript.

Helka is being built to bring the reason for the call, the customer's current service, their priorities and a practical conversation plan into one customer record. Your agent can start with context, not the same opening questions.

Telecom example: a broadband switch

The bill went up. Reliability matters more.

Fictional scenario. A customer names their current provider and plan, reports paying CHF 79 per month after a discount ended, and says video calls drop when two people work from home. They want to stay below CHF 70 and prefer an afternoon callback.

What the sales agent should discuss

Discuss reliability before price.

Open with the reason for switching. Confirm contract dates and exit fees, check address eligibility, then compare suitable approved packages using the full ongoing price and installation costs. Clarify router versus line issues instead of assuming an upgrade fixes them.

Contract dates, exit fees and line eligibility still need checking. The budget and service problems are customer-stated, not verified bill or network data. A callback preference is not a booked appointment.

Reason for calling

The request in the customer's own words: a new connection, upgrade, renewal, move, cancellation or comparison. Capture what triggered the enquiry, what is not working, the desired outcome, urgency and any deadline the customer gives.

Current provider and plan

Provider and exact package name for broadband, mobile, TV or landline, including different providers for different services. Capture stated speed, data allowance, roaming, line or SIM count, bundled services, router and relevant devices.

Costs and contract

The stated monthly bill, regular price versus promotional price, discount expiry, add-ons, equipment instalments and unexpected charges. Ask about contract end date, renewal, notice period and early-exit fees. Keep estimates separate from figures confirmed by a permitted source.

Usage and priorities

Household or business use, number of users and devices, remote work, video calls, streaming, gaming, travel and coverage concerns. Record reported service problems, budget, must-haves, trade-offs and purchase timing without inventing a diagnosis or hidden preferences.

Switching requirements

A relevant service or installation address, moving date, number-porting wishes, acceptable downtime, installation availability and equipment constraints. Track which coverage or eligibility checks are still needed; do not assume an address is serviceable or that a number can be transferred.

Contact and decision-makers

Preferred name, permitted contact details, language, callback window and communication preferences. Clarify the account-holder or decision-maker role and who else needs to approve a change. Record permission for the requested follow-up separately from marketing consent.

Conversation history

Questions already asked, answers given, approved offers discussed, customer-stated objections and reasons for interest. Keep relevant earlier contacts, corrections, commitments and unresolved questions linked to their source and date, so the customer does not have to repeat the story.

The next-call plan

An opening summary, the customer's priorities, questions to resolve and suitable offers for the agent to review against current approved terms. Include talking points about full costs, contract conditions and switching steps, plus the assigned owner, requested timing and next action.

Each detail keeps its source and verification status. Missing details stay marked as unknown, conflicting answers stay visible, and the agent can see which questions to ask next.

Configure fields around the enquiry, not indiscriminate collection. Information must come from the customer or permitted systems; another provider's private account is not automatically accessible. Identity checks, approved sources, privacy requirements and current channel availability still apply. This is an intended configurable workflow, not a released telecom integration.

Configured around your work

Different requests.
Clear next steps.

Each workflow starts with what the customer needs and what your business permits.

Sales qualification

Clarify the request, capture a lead or opportunity and preserve the source of the customer's stated requirements.

An assigned person reviews suitability and prepares a response.

A captured lead is not a qualified sale, a delivered reply or a promised commercial outcome.

Service intake

Turn a conversation into a service case with the corrected location, open questions, priority and an assigned team member.

An assigned task directs unresolved work to the right team.

Intake is not a diagnosis, an emergency service or a completed repair.

Optional scheduling

Where reviewed integrations provide real availability, propose a permitted time slot and read back the exact arrangement.

The customer must separately confirm the action, and a successful result must be saved before a booking can be described as accepted.

A proposed or preferred time is not a completed booking. Calendar support is assessed individually.

Prepared follow-up

Bring the conversation, approved information and unresolved questions together for an employee to review.

Keep tasks, drafts, delivery receipts and completed follow-up clearly distinct.

A stored task does not send a message. Production email and substantive outbound replies require provider validation and release approval.

Approved business information

Answers based on
your services and policies.

Answers should come from your approved information, not guesswork. Unknowns remain open for a person to resolve.

Approved information with a version history

Services, offers, terms, approved prices, opening hours, policies and eligibility criteria can inform an answer when the source is current and permitted. Access to customer information and employee search results remains subject to permissions.

Sources need clear priorities, review dates and correction procedures. Outdated or withdrawn information should not silently determine a new answer.

Messages do not override business rules

A customer message or an instruction in a document is input to assess, not permission to change policy or access private records. Questions remain unresolved when approved information cannot answer them.

Preparation depends on your information and integrations. Helka does not promise unrestricted file access, perfect answers or immunity to malicious instructions.

Permissions and human review

You decide what
Helka may do.

The AI can interpret a request, but it does not set its own permissions. Important actions require checks, and completed actions require evidence.

Checks before important actions

Public questions may not need identity checks; access to private records and actions does. Caller ID and possible account matches do not verify identity. Verification codes are kept out of AI input and transcripts.

Where required, exact details must be read back in full, the customer must separately confirm the action, and a successful result must be saved. Correcting contact details is not permission to make a booking.

People handle unresolved work

A live transfer requires a configured destination with staff available. Otherwise, a workflow can prepare an assigned task or callback request. Immediate pickup and callback deadlines are not guaranteed.

Foundations exist for handling interruptions and cancelling outdated action plans, but mistakes and provider failures remain possible. Natural, considerate English is a development aim, not a promise of flawless or indistinguishably human conversation.

Privacy-conscious information capture

Callers are normally informed about AI and transcription before information is captured. Recording is off by default; transcription is a separate form of processing. Disclosures, legal requirements and provider terms must be reviewed for each deployment.

Foundations for export, redaction, deletion and retention do not guarantee instant deletion everywhere, exclusions from provider training or a particular processing region. The website privacy notice explains how this site's enquiries are handled.

Reviewed, controlled improvement

Software outside the AI controls permissions. Foundations for separating organisations' data and limiting time, retries, data exposure and spending support this approach; they are not production certification.

Corrections, evaluations and changes require review and approval. Conversations do not trigger uncontrolled self-training. Full release acceptance testing is not yet complete.

Example business uses

Service requests, sales
and customer support.

These examples illustrate workflows that can be configured for a business. Suitability and integrations require individual review.

An illustrative field-service enquiry

The team is on site.
Another customer calls.

A customer reports a sticking loading-bay door, corrects the location from Bay 2 to Bay 4 and asks for an afternoon callback.

Without a connected record, the next employee has to reconstruct the conversation.

With a configured Helka workflow

A callback request assigned to your team.

Approved intake questions capture the issue. The corrected details are read back, and the callback request is confirmed separately.

Your team receives a case with its source history and an assigned next step. Contact details and site access still need checking. The callback is pending; no visit is booked.

Inspect the illustrative record
Professional services

A prospective client asks which service fits their project.

  • Use approved service information to answer public questions.
  • Capture the customer's requirements and assign the lead.
  • Prepare questions for a person to review.

A team member receives the context instead of having to reconstruct the enquiry.

This does not provide autonomous legal or financial advice, commit to pricing or guarantee suitability.

Subscription customer operations

A customer asks about a private account issue.

  • Explain public policy without exposing private records.
  • Apply configured identity checks before accessing permitted account information.
  • Assign unresolved work while preserving its sources and verification status.

The team can distinguish a possible account match from verified access.

Caller ID is not verification. Refunds, payments and cancellations are not permitted by default.

Customer support

A support team receives a question that approved knowledge cannot resolve.

  • Clarify the issue and record what remains unknown.
  • Use only permitted, current sources.
  • Route the case and task to an assigned person or team.

The next person can continue from a structured handover.

Transfers require a configured destination with staff available. Neither immediate pickup nor a callback deadline is guaranteed.

Appointment enquiries

A customer asks whether a visit could be arranged.

  • Check whether scheduling is enabled for that workflow.
  • Where configured, consult real availability and propose an exact time slot.
  • Complete the identity checks, obtain separate confirmation of the action and require a successfully saved result.

A proposed time remains a proposal until the required checks are complete and a successful result is saved.

Scheduling is optional. Universal calendar compatibility and automatic booking are not promised.

Growing B2B sales teams

Incoming enquiries arrive with fragmented company and contact details.

  • Record a possible account or contact match without treating it as verified.
  • Link the conversation to a lead or opportunity and its source history.
  • Assign a review task and prepare the context for follow-up.

The person responsible for the sale can review the enquiry and resolve conflicting information before acting.

Integrations and responsibility for records require individual assessment, whether records are held in Helka, an external system or both. Migration and synchronisation are not guaranteed.

Reviewed setup with StructylAI

Agree the channels,
information and permissions.

Request access, a demonstration, a pilot discussion or availability updates. Each request is reviewed by StructylAI; none activates the product automatically. The current foundations include a local English voice demonstration, but available capabilities and suitability must be confirmed.

Your enquiries and approved information

Discuss how customers contact you, which questions recur, what requires a person and which information may support an answer. Identify approved sources, responsible owners and permissions without sharing secrets or private customer datasets.

Your integrations and operating rules

Assess your existing CRM or calendar individually. Agree responsibility for records, permitted actions, identity checks, staff availability, disclosures and processing requirements. Confirm release and rollout readiness separately.

An enquiry does not create an account or tenant, start a trial, activate a phone number, connect customer systems, enable recording or book an appointment. No public pricing, payment commitment or reply-time guarantee is offered.

Frequently asked questions

Capabilities, setup
and availability.

What is Helka?

Helka is an AI inbound assistant with its own CRM, being developed by StructylAI in Switzerland for businesses handling contact forms, emails and phone calls. It is being built to reply from approved business information, organise customer records and assign unresolved work to a person or team. Helka is still in development, with a local English voice demonstration; production channel availability and integrations require individual validation and release approval.

How is Helka different from a general-purpose chatbot?

A general-purpose chatbot centres on a conversation. Helka is being built around the business work that follows an inbound enquiry: approved answers, a customer record, permitted context and follow-up assigned to a person or team. It has its own CRM and an intended workflow across contact forms, emails and calls. It is not a released replacement for every chatbot or CRM, and external integrations require individual review.

Can Helka prepare a sales brief for a telecom team?

That is an intended configurable workflow. A brief can bring together the reason for calling, the current provider and plan, stated costs, contract questions, usage, budget, switching requirements and an agenda for the sales agent. Information must come from the customer or permitted systems, with sources, unknowns and verification status kept visible. This is not a released telecom integration or automatic access to another provider's private account.

Is it just an AI receptionist?

No. Answering an incoming conversation is only one part of Helka. Accounts, contacts, leads, opportunities, service cases, enquiries, tasks and timelines preserve the work that follows. Records also track possible identity matches, consent, preferences and assignments. An enquiry extends a conversation within the same customer record. The aim is to give your team continuity and a clear next step, not to provide an unrestricted autonomous employee.

Who is it for?

Helka is being developed for businesses and customer-facing teams that handle incoming enquiries, scattered information and follow-up. Founders, sole traders and interested individuals are welcome to enquire; a company is not required for individual applications. StructylAI reviews suitability, workflows and availability before rollout. Helka is not currently offered as a consumer assistant or a ready-made industry solution, and commercial availability in Switzerland or elsewhere is not assumed.

Does it replace my team?

The aim is to support intake, continuity and consistent use of approved information. People remain responsible for judgement, exceptions, business decisions and unresolved work. Tasks can carry an owner or queue, priority, due time and resolution evidence, so an employee can see what still needs attention. A created task is not a completed callback, and no staff reduction or measured time saving is promised.

Can it use information about my business?

It can use approved, versioned business facts and permitted customer context, with sources, freshness, precedence and revocation taken into account. Preparation and integration work depend on your information and permissions. Customer messages or document instructions do not become authority to change business rules. Employees can review corrections and history; this is not a promise of unrestricted file access, perfect answers or immunity to malicious instructions.

Can it access private customer records?

Access is limited to permitted information in connected systems and is subject to configured identity checks. An incoming telephone number or possible account match is a clue, not proof of identity. Public questions may not require verification; private records and actions do. Software outside the AI controls permissions, and verification codes are excluded from AI input and transcripts. Records distinguish customer statements, confirmed information, conflicting details and unresolved questions.

Can it make bookings or update records?

Only specific actions are permitted within a reviewed workflow with suitable integrations and checks. Optional scheduling requires access to real availability. For important actions, exact details must be read back in full, the customer must separately confirm the action, and a successful result must be saved before acceptance is reported. Correcting contact details does not authorise another action. A proposed time is not a booking, and not every action in an external system can be undone.

What happens when it cannot help?

It should clarify uncertainty, avoid guessing and expose the unresolved work to a person. A live transfer depends on configured staffed availability. Otherwise, the workflow can prepare an owned task or callback request with the conversation context and open questions. A provider failure or interruption can also leave work unfinished. There is no guaranteed immediate pickup, callback deadline or flawless human-like conversation.

Can Helka reply automatically to forms, emails and calls?

That is the intended three-in-one workflow: understand the enquiry, respond with relevant details from approved business information, ask for missing information and organise the next step. Calls have a local English demonstration. Contact-form intake requires reviewed deployment, with automatic replies depending on an approved delivery channel; a saved receipt is not itself a substantive answer. Email foundations support threads, classification and drafts for review. Receiving production email is disabled by default until a real provider is validated; sending substantive replies also requires release approval. A draft is not a sent email. This website's access form remains a separate sales enquiry and does not activate Helka.

Will it work with my existing CRM or calendar?

Helka has its own CRM. Connections to other systems are assessed individually. We agree which system holds each record, who may update it, how conflicting changes are handled and what migration involves. Responsibility can stay with Helka, an external system or both under agreed rules. Universal compatibility, effortless migration and perfect synchronisation are not promised. No named CRM, calendar or email vendor is represented as a ready-made supported integration.

Are calls recorded?

Recording is off by default. Transcription is a separate form of processing, and callers are normally informed about AI and transcription before information is captured. Turning recording off does not mean that no processing occurs. Recording settings, privacy requirements, legal obligations and provider terms require explicit review for each deployment. Data export, redaction, deletion and retention foundations do not guarantee instant deletion everywhere, exclusions from provider training, a particular processing region or GDPR, FADP, SOC 2 or ISO certification.

Does it learn from every conversation automatically?

No. Conversations are not intended to trigger uncontrolled self-training. Corrections, evaluations and approved changes can inform improvements, while business information remains subject to approval and version tracking. Foundations exist for separating organisations' data and limiting time, retries, data exposure and spending; these are not production certification. A customer message does not silently change business policy, and the system can still make mistakes.

Which languages does it support?

English is the initial target and the language of the current local voice demonstration. Other languages, including German, Swiss German, French and Italian, are future directions that require separate validation and release acceptance. They are not presented as live support and there is no language selector implying otherwise. Suitability for your customers must be discussed rather than assumed.

Is Helka publicly available now?

StructylAI is accepting access and demonstration enquiries for review, but automatic self-service activation is not available. Substantial foundations and a local English voice demonstration exist; full release acceptance and live-call testing are not complete. Capabilities, suitability and rollout availability must be confirmed before deployment. An enquiry does not create an organisation's account, activate a telephone number, connect a CRM, enable recording or certify production readiness.

What does it cost?

Public pricing, paid offers and trials have not been approved. Discuss your intended workflows, usage, information and integrations with StructylAI so the requirements and available capabilities can be assessed. Sending an enquiry does not commit you to a payment or start a trial. Savings and returns on investment are not guaranteed.

What happens after I request access?

A genuine reference from the form confirms that your enquiry has been saved for StructylAI to review. Visiting the receipt-information page alone does not confirm a submission. The next discussion covers your enquiries, approved information, integrations, suitability and availability. No account, trial, telephone number or booking is created automatically, and no response deadline or acknowledgement email is promised. Product updates are optional and require a separate choice.
